Required Technical Skills

• A minimum of three (3+) years of administrative experience, including direct work experience
performing similar administrative functions for a large department within a multicultural environment.
• Must be technologically savvy, demonstrating the ability to easily adapt to new and unfamiliar
technologies, software, and systems.
• Must be able to adapt to changing situations and demands.

The selected candidate will have the following duties and responsibilities:
Project Resourcing support activities include:
• Organizing interviews/pre-screening activities for DDP and support other units within DD asneeded.
• Onboarding all new joiners (contractors) within DDP.
• Support with Annual Leave management by ensuring the DDP team calendar is up to date as well as ensure all roles have an OIC identified during their leaves.
• Inform of the new changes on the organigram to the HR team.
• Follow up with onboarding and offboarding tickets to ensure compliance with internal policies and procedures.
• Ensure Terms of References are up to date.
• Coordinate together with the Project Control Assistant colleague that project effort estimations are accurate and are provided on time.
• Consolidating resources requests for project allocation that creates the most value for the business and its clients.
• Facilitate hiring of resources (e.g. renewal/extension of consultants) and follow-up on approvals.
• Updating the Forecast report on a recurring basis to understand teams’ availability as it pertains to the new projects’ assignments.
• Perform other related duties as required.

Administrative support activities include:

• Organising and maintaining updated files, records, and databases.
• Maintain the roster of prospective Project Management profiles.
• Performing research and data entry as needed.
• Preparing and editing documents, reports, as well as presentations.
• Scheduling team meetings.
• Coordinating and assisting with events and simple projects.

• Handling requests for travel reimbursements and ensuring accuracy of charges by reviewing documentation.
• Review of Time Recording compliance for the team.
• Supporting with Audits (consolidate, review audit artifacts and store centrally)
• Support with ad-hoc exercises, as needed.

The resource MUST have the following skills and experience:

• Strong Proficiency in MS Office, specifically Excel (Vlookup, Pivot tables, Data sorting and filtering) and PowerPoint.
• Good understanding of other tools like Outlook, SharePoint, Confluence, PowerApps, and Teams.
• Basic knowledge of budgeting and forecasting.

The resource SHOULD have the following skills and experience:

• Experience in working for UN organizations / International Organizations / NGOs / Public Sector.
• Familiar with Procurement processes and/ or pre-sales.
